Duplicates Committee sent out survey of how people use volume fields

We sent out a Google doc for everyone to fill in what you are doing with volume records, so we can document how the process works.  If you have not filled it in for your institution, please do, and the duplicates team will use it in our next meeting.

New Cataloging Standards document posted

The Cataloging Standards Policy document is posted.

Create load profile to experiment with 245 verification test

We can add a title verification to a record loader.  Lloyd would like to find someone to test this.

Garfield birth dates loaded into variable BD field.

Lloyd was able to use SQL to get the birth dates out of the fixed field and reloaded into the variable birth date field where it is now searchable.  Next we will see if we can automate this function to get the dates out in the future. We did this for Garfield because they asked to have their patron birth dates searchable.  If anyone else would like us to do this for your patrons let us know.

Discussion Topics

  • Search facets setting.
    • Innovative has allowed us to customize the search facet limiters in Sierra.  However, they did it badly. We now have them set to default to being closed.  When you select a limiter, it closes them again. This way you can’t see which limiter you have applied unless you open it again.  This is very poor.
    • After some discussion we decide that it would be better to change this back to having them all open all the time.  That way you will be able to see which facets have been selected.
    • The ASC also wanted the new configuration.  Lloyd will check with them on email before changing it back.
    • Lloyd started an Idea Lab to get this fixed.  Please go to Idea Lab and vote for it.
  • Test loader that does 245 verification set up.  Need someone to test.
    • We have the option of a title verification function when we load records.  This would match on the match point, but also check that the title matches before overlaying a record.  Lloyd would like to test this. He has added this function to the test loader (Z) in Data Exchange. Selene is willing to test it.  She is using the (B) loader, so Lloyd will copy that loader to (Z) and add the title verification test to so that Selene can compare the two.
  • Volume record survey.
    • The duplicates group sent out a survey of how people are using the volume field.  The goal is to document what people are doing with the volume field. If you have not filled it out yet, please do so and the duplicates team will analyze it so we can develop a consistent policy.

Tammy created a document for this.  We will look into creating a training video.

Rewrite econtent cataloging documentation

Lloyd/

Tammy

The econtent documentation is mostly done.  The g field needs to exist to let Pika know that the item is econtent.

There used to be three or four elements in the g field separated by colons.  Most of this information is not used by Pika any longer. Only the first element that identifies the source is still used to create the source facet in Pika.  The other elements after the colon, “external” “DRM” etc. can be deleted.

Tammy created a list of the content of all the g fields and we will send this out to each library.  We will discuss this at duplicates committee.

Add CMU gov docs location to list of shared econtent locations

Pascal

We just reminded Pascal about this.
